Billing & Subscriptions
Manage your whoot. subscription entirely self-serve — add users, review invoices, monitor usage, and update payment methods without a support ticket.
Pricing Model
whoot. uses a single, all-inclusive plan:
- £9 per user per month (excl. VAT) — One price, everything included: push-to-talk, recording, transcription, and dial-out
- Recording — 30-day retention included with every user
- Transcription — 500 minutes per user per month, pooled across your team
- Channel Dial Out — 100 minutes per user per month, pooled across your team

Pooled Allowances
Transcription and dial-out minutes are pooled across your entire team. For example, a 10-user workspace gets:
- 5,000 transcription minutes per month (10 users × 500 min)
- 1,000 dial-out minutes per month (10 users × 100 min)
It doesn't matter which users consume the minutes — the pool is shared. You can monitor usage in real time from your billing dashboard.
Overage Billing
If your team exceeds its pooled allowance in a billing period, overage minutes are billed at the end of the cycle:
- Transcription overage — £0.01 per minute (excl. VAT) beyond your allowance
- Dial-out overage — £0.03 per minute (excl. VAT) beyond your allowance
You'll receive email warnings at 50%, 80%, and 100% of your allowance so there are no surprises. Administrators can also disable overage on a per-feature basis — when the allowance is exhausted, the feature pauses until the next billing period.
Free Trial
Every new workspace starts with a 14-day free trial:
- Full feature access — no limits
- No credit card required
- When the trial ends, your workspace pauses (data is preserved, not deleted)
- Add a payment method at any time to continue — no re-setup needed
Managing Users
User licences are managed automatically:
- Adding users — When you invite a new member, a licence is added automatically. Billing is pro-rated to the day. Your pooled allowances increase immediately.
- Removing users — When you remove a member, their licence is released. You receive a pro-rated credit. Allowances adjust at the next billing period.
- No manual licence management — You don't need to pre-purchase a specific number of licences
Feature Controls
All features are included in every plan, but administrators can control which features are active per channel:
- Navigate to the channel settings
- Toggle recording, transcription, or dial-out on or off
- Features take effect immediately — no billing changes when toggling (usage is metered against your pooled allowance)
Invoices
View all past invoices in Settings → Billing → Invoices. Each invoice includes:
- Itemised breakdown of all charges
- User count and proration details
- Transcription minutes used and any overage charges
- Dial-out minutes used and any overage charges
Invoice Preview
Before your next billing cycle, you can preview the upcoming invoice. This shows exactly what you'll be charged, including any mid-cycle additions or removals and current overage usage.
Payment Methods
Add and manage credit cards in Settings → Billing → Payment Methods. whoot. supports:
- Visa, Mastercard, American Express
- 3D Secure for additional payment authentication
- Multiple cards — set a default for automatic billing
Pro-rated Billing
All user changes are pro-rated to the day:
- Add a user on the 15th? You pay for half the month.
- Remove a user on the 20th? You get a credit for the remaining days.
No rounding up. No gotchas. You pay exactly what you should.

For larger deployments (50+ users), contact us for volume pricing. We offer custom packages for enterprises, agencies, and MSPs.
