Recording Conversations
Record your team's voice conversations for compliance, training, or catching up on missed discussions. This guide covers setup, management, and playback.
Prerequisites
- Recording is included in every whoot. plan with 30 days of retention. See Recording for full details.
- You need admin permissions to enable recording on a channel.
Step 1: Enable Recording
- Navigate to your dashboard
- Click the settings icon on the channel you want to record
- Toggle Recording to enabled
- Save your changes
Once enabled, all conversations in that channel will be recorded automatically. A recording indicator will be visible to all participants.
Recording Indicator
When recording is active, a red dot and "Recording" label appears in the channel header. This ensures all participants are aware their conversation is being captured.
Step 2: Manage Recordings
Recordings appear in the channel's recording list. For each recording, you can see:
- Start and end time
- Duration
- Participants who spoke
- Associated transcription (if transcription is also enabled on the channel)
Step 3: Play Back Recordings
Click on any recording to open the Session Replay player. Features include:
- Timeline scrubbing — Jump to any point in the conversation
- Speed control — Play at 0.5x, 1x, 1.5x, or 2x speed
- Speaker-tagged waveforms — See who spoke when with colour-coded audio waves
- Synced transcription — If transcription is enabled, text scrolls in sync with audio playback
- Keyword search — Search within the transcript to jump to specific moments
See the Session Replay guide for a full walkthrough of the replay interface.
Retention Policies
Administrators can configure how long recordings are kept. Options include:
- 30 days — Suitable for most teams
- 90 days — Extended retention for compliance
- 1 year — Long-term archival
- Custom — Set your own retention period
Recordings older than the retention period are automatically deleted. This helps manage storage costs and comply with data retention regulations.
Best Practices
- Inform your team — Let everyone know which channels are recorded before enabling
- Set appropriate retention — Keep recordings long enough to be useful, but not longer than necessary
- Combine with transcription — Recording + Transcription gives you the full package: audio replay, text search, and AI summaries
- Use for onboarding — New hires can listen to past standups and briefings to get up to speed fast
Next Steps
